Receivables follow-up and reminders

Open invoices are scanned every day, customers get a reminder in the right tone, and those who pay drop off the list.

Typical targets; the real figure is measured in the pilot.

  • Every dayOpen invoices scanned automatically
  • Before it is lateTarget timing for the reminder
  • Days, not weeksTarget time to notice an overdue amount

The problem

Every week you open the sheet to see whose due date has passed. Calling to remind takes time, and with some customers you would rather not call at all. Some receivables get forgotten, and cash flow gets tight because of it.

Who it is for

  • Wholesale and production firms selling on credit
  • Businesses with regular collections such as subscriptions or rent
  • Service firms such as consultancies and agencies
  • Schools, courses and gyms that work with fees

What it does

  1. Daily scan

Every morning open invoices and due dates are checked.

  2. Reminders by group

Customers whose due date is near, just passed or long overdue get different messages.

  3. Tone templates

Message templates in polite, clear and firm tones are written in your own voice.

  4. Several channels

Messages go by email, WhatsApp or SMS. You choose which one each customer gets.

  5. Paid ones drop off

Once a payment is recorded, the customer leaves the reminder list on its own.

  6. Risk summary

The manager gets total receivables, the overdue amount and the customers that need attention.

How we deliver it

  1. 01

We check where the data lives

We find out which sheet or program holds the invoice and due-date data and how it can be read.

  2. 02

We write the rules and messages

Together we decide how many days before and after the due date, and in which tone, messages go out.

  3. 03

    We send to you first

In the first days messages go to you, not to customers. We fix the wording and timing together.

  4. 04

    We open it to customers

After your approval the real reminders start. The manager summary goes live the same day.

Questions

Do we need to change our accounting software?

No. We read invoice data from a sheet, an exported file or a program that can be connected. We look at which one fits at the start.

Will it upset our customers?

You choose the tone. Firm messages are not the default. You can take any customer off the list, or stop messages from going out without approval.

How long does setup take?

A first working version is usually ready in 1-3 weeks. It depends on the state of the data source and how many channels you want.

Customer data and KVKK?

Phone, email and debt details are used only for reminders. We limit access and set up message permissions in line with KVKK.

What if the rules change?

We update the number of days, the tone or the channel whenever you want. Maintenance support continues.
