Order and delivery note processing
Orders that arrive by email, WhatsApp, Excel or PDF are read and entered into your system on their own.
Typical targets; the real figure is measured in the pilot.
- Minutes, not hoursTarget time for order entry
- Up to 80%Target reduction in manual data entry
- 24/7Reading incoming orders
The problem
Orders come from everywhere. One customer emails, one writes on WhatsApp, one sends an Excel file. You read each one and type it into the panel by hand. In busy hours work piles up, and a wrong code or a missing quantity throws the shipment off.
Who it is for
- Wholesalers and distributors
- Food, packaging and spare parts suppliers
- Manufacturers taking B2B orders
- E-commerce businesses selling through several channels
What it does
Reads every channel
Email bodies, WhatsApp messages, Excel and PDF attachments are read with AI.
Product matching
The name or code the customer wrote is matched to the entry in your product list.
Checks
Stock, price and customer limit are checked. Lines that do not fit are flagged.
Writes into your system
The order is saved to your panel, online shop or sheet.
Asks when unsure
If a reading is not clear, the order comes to you for approval. You fix it, and the correction is added to the rules for later orders.
Delivery note and confirmation
A delivery note draft is prepared and the customer gets an order-received message.
What routine work costs
Set three numbers. If 60% of the routine work is automated, see roughly how much time and money is left each year.

How we deliver it
- 01
We look at your orders
We study real order samples, which channel they come from and where they get entered.
- 02
We set up reading and checks
We define product matching, stock and limit rules, and who approves.
- 03
We run it in parallel
For a while the system and your team process the same orders and we compare the results.
- 04
We go live
When the results hold, we hand the routine work to the system. Only unclear ones reach you.
Works with
Questions
Do we need to change our panel or software?
No. We write the order into the panel, online shop or sheet you already use. That tool needs some way to connect, and we check this together at the start.
What if the AI reads something wrong?
Orders it is unsure about are not entered automatically. They come to you for approval and you fix them. At first the approval rate may be high, and the target is for it to go down over time.
How long does setup take?
A first working version is usually ready in 1-3 weeks. It depends on how many channels and order formats there are.
How is customer data protected?
Data is processed only for the order job. For KVKK we limit access and write down up front what is kept where.
What if an order format changes?
We update the reading rules for the new format. Support continues for maintenance and small adjustments.
