Email sorting and reply drafts
A system that sorts incoming email by topic and urgency, routes it to the right person and prepares a draft reply.
Typical targets; the real figure is measured in the pilot.
- Within secondstarget: time to sort and route an incoming email
- Up to 60%target reduction in time spent writing replies
- 24/7target: the inbox stays organised outside office hours
The problem
The shared inbox is a mix: quote requests, complaints, invoices and ads together. Important mail sinks, and it is unclear who should look. The same kind of email gets a reply written from scratch every time.
Who it is for
- Sales and quoting teams
- Customer support teams
- Hotels and reservation offices
- Export and logistics firms
- Small teams with a shared inbox
What it does
Sorts by intent
Quote request, complaint, order question, invoice, ad. We set the categories for your business.
Flags urgency
Urgent and important emails rise to the top; those that can wait move back.
Routes to the right person
Sales mail goes to sales, support mail to support. You set the rules.
Prepares a reply draft
Writes a draft in your tone and from your information. You read, edit or approve in one click; nothing is sent without approval.
Reads attachments
Also reads attachments such as PDFs, invoices or forms and uses them in sorting and replies.
What routine work costs
Set three numbers. If 60% of the routine work is automated, see roughly how much time and money is left each year.
Department
Example routine task: Invoice entry, reconciliation, collections follow-up
Automation rate is fixed at 60%, with 22 workdays a month.

How we deliver it
- 01
We look at the inbox
Which kinds of email arrive, who handles them, where they get stuck. We map it together.
- 02
We set rules and templates
We prepare categories, routing and reply tone from your past replies and notes.
- 03
We connect Gmail or Outlook
Works inside your own account. We first test it with sorting and drafts only.
- 04
Go live and adjust
In the first weeks we fix wrongly sorted mail and improve draft quality.
Works with
Questions
What if it sorts wrongly or writes a wrong reply?
Replies are prepared as drafts and are not sent until you approve. Emails it is unsure about go into a separate box; it does not decide on its own. If you wish, we can switch on automatic replies step by step, only for low-risk questions.
Where do my emails go, and is it KVKK-aware?
Under the business (API) terms of the model provider we use, data is not used to train models; we check the current terms with you before setup. We can leave certain senders or topics out of the system and mask personal details before the model sees them. We write down the data flow during setup.
How long does setup take?
It depends on the number of categories and accounts. A first working version is usually ready in 1-3 weeks.
What drives the cost?
How many inboxes are connected, daily email volume, how complex the categories and routing rules are, and whether attachments are read. We listen to what you need and give a clear quote.
